A template sets up a whole event for you: the sessions, the ticket types and the volunteer rota, all filled in with sensible names and times. Pick one, choose your date and venue, and you have an event ready to publish. Everything a template adds can be changed or deleted afterwards.
Use one if you are running something for the first time, or if you would rather not build a disco from an empty form every term.
Steps
- From your admin dashboard, click Events in the sidebar.
- Click + New event in the top right.
- Choose Start from a template.
- Pick the template that matches what you are running.
- Fill in your date, venue and anything else you want to change. The name and description are prefilled, so edit them or leave them.
- Click Create event.
You will land on the event with everything already set up. The message at the top tells you exactly what was added.
What comes with each one
| Template | What it sets up |
|---|---|
| School disco | Two sessions for younger and older years, entry and tuck shop tickets for each, and eight volunteer roles covering setup, the door, the tuck shop, hall supervision and tidy up |
| Summer fayre | One long session, adult, family and trader pitch tickets, and a rota covering setup, the gate, tombola, teas, cakes, games and the tidy up |
| Film night | One screening, an entry ticket, and roles for setup, the door, snacks, supervision and tidy up |
| Quiz night | One session, table and individual tickets, and roles for setup, check in, the quiz master, marking, raffle tickets and tidy up |
| Bake sale at pick up | A simple event with no tickets, and a rota for collecting cakes, serving and tidying up |
Nothing is locked in
A template only gives you a starting point. Once the event exists you can rename, retime or delete any session, ticket type and volunteer role, and add your own. Prices, capacities and how many helpers you need are all yours to change.
If your community has not connected Stripe yet, the ticket types are still created but priced at zero, so you can set the prices once payments are set up.
Saving your own
Once you have an event set up the way your community runs it, you can keep it for next time.
- Open the event.
- Click the ⋯ menu in the top right.
- Choose Save as template.
It appears under Your templates the next time anyone picks a template, alongside the ready made ones. You can rename or delete your own templates from the same page.
To change what one of your templates sets up, start an event from it, adjust the event, and save that as a template again. The event editor is the template editor.
