To edit an event, open it from the Events list in your admin sidebar and click Edit. To cancel an event, open it and click Archive in the ... menu. The event comes off your public pages, but ticket records and reports are kept.
Edits take effect immediately. Existing ticket buyers are not automatically notified, so for date or location changes you should send an email campaign to them.
Editing event details
- From your admin dashboard, click Events, then click the event you want to change.
- Click Edit at the top of the event page.
- Update any field: title, date, time, location, description, visibility.
- Click Save.
The changes appear on the public event page right away.
What to do after a date or location change
Existing ticket buyers will see the new details if they revisit the event page, but they will not receive a notification by default. We recommend sending an email campaign to the ticket buyers as soon as you have edited the event:
- From the event admin page, click the ... menu and choose Message ticket buyers.
- This starts an email campaign with everyone who has bought a ticket already added as a recipient. Write a short message explaining the change.
- Click Send.
Cancelling an event
To cancel an event, open it from your admin sidebar, click the ... menu at the top and choose Archive.
Archiving:
- Hides the event from your public community page and from search engines.
- Removes the event from your admin events list so it does not clutter your view.
- Keeps ticket records, journal entries and any fundraiser contributions intact so your reports stay accurate.
It is the closest thing to a soft delete: once you archive, the event is gone from your day-to-day view, but the history is preserved.
Viewing and restoring archived events
Click the Archived tab on the Events page to see everything you have archived. Open any archived event to read it as a record, or click the ... menu at the top and choose Restore to put it back into your active events.
Refunding ticket buyers
If you cancel a ticketed event, you will probably want to refund the buyers.
- From the event admin page, click Tickets to see the list of buyers.
- Click any purchase to open it.
- Click Refund at the top of the purchase page.
- Choose Full refund or enter a custom amount. Stripe sends the money back to the card the buyer used.
Stripe usually returns the money to the buyer within 5 to 10 working days.
